BOOKING
Once you have decided which trip you want to book, please fill out our booking form. We will then confirm your booking and send you your trip invoice.
PAYMENT
We accept the following methods of payment:
- Direct Bank Transfer to our Japanese account (all transfer costs paid by principal = customer)
- Direct Bank Transfer to our Belgian account (only within SEPA zone; free)
- Paypal (+5% handling fee)
- Credit Card: Visa, MasterCard, American Express or Discover (+5% handling fee)
We accept payment in Japanese Yen and Euro (Belgian account). Our prices are in Japanese Yen. Exchange rates will be fixed on the day of invoice. We should receive your payment one month before the start of your trip at the latest.
The PayPal and Credit Card payment process is as follows:
- We send you a PayPal invoice.
- You click on [Pay Invoice] and you will be offered the option to pay by PayPal or by Credit Card.
- You follow the further instructions on your screen.
ONE MONTH BEFORE
We will send you your itinerary, with meeting details for the group and details of your tour leader. If we haven’t received your payment yet, we will also send you a reminder.
SELF-GUIDED TOURS
SECURITY DEPOSIT
For self-guided tours, we include a security deposit for bike rent, hotel cancellations, etc. You will receive a full refund after your trip when all went according to plan and no damage or loss occurred.
CUSTOM TOURS
QUOTATION
If you are interested in a private/custom bike tour in Japan, then please fill in our quotation form. We will be delighted to create a custom itinerary for you or your group.
Once you are happy with the itinerary and quotation, the booking process will continue as for regular tours (above). We will ask you to fill out our booking form. We will then confirm your booking and send you your trip invoice. As soon as we receive your payment, we will make all of the arrangements and bookings for your trip.
BOOKING TERMS AND CONDITIONS
Insurance
All participants on Japan Biking trips must have travel insurance that covers medical expenses, medical repatriation and personal injury.
Cancellation by the traveller
Japan Biking will refund the full trip cost minus transfer costs if you decide to cancel more than one month prior to the departure date.
No refunds will be made should you:
- Choose to cancel less than one month prior to the departure date.
- Voluntarily leave during the course of a trip.
- Choose not to utilize accommodation, transport, meals or any services provided.
Cancellation by Japan Biking
Should we cancel a trip prior to the departure date, Japan Biking will return the full trip cost. We reserve the right to cancel any trip, at any time prior to its departure due to reasons including, but not limited to terrorism, natural disasters, political instability and other events which make it impossible for us to run that trip. Japan Biking will make every effort to keep participants informed in these situations. Japan Biking will not be responsible for any costs outside of the tour price, such as airfares and other travel expenses that may be lost due to a cancellation made by us. We recommend that you take out adequate travel insurance to cover you in these events. Should Japan Biking cancel a trip where passenger numbers have not met the required minimum, we will notify you at least 60 days prior to the trip and fully refund any amount already paid to us.
Prices
The prices listed on our website are based on the costs current at the time of writing. Japan Biking reserves the right to change these prices at any time, for any reason including, but not limited to operating costs, itinerary changes, and exchange rate fluctuations. The price of the trip is guaranteed upon payment. Should Japan Biking deem it advisable to change an itinerary due to reasons including, but not limited to client safety, travel restriction or political, social or environmental danger, the changes are binding and any additional expense will be charged to you if these changes are outside Japan Biking’s control.
Booking amendments
Should you wish to change your booking with Japan Biking i.e. change the trip or dates, there may be an additional service charge.
Late booking
For bookings made within 15 days of departure, Japan Biking reserves the right to charge a late booking fee. Japan Biking reserves the right to decline a booking if the departure date is too close to make necessary arrangements. In the majority of cases, however, this would be unlikely.
Passports and visas
You must carry a valid passport and have obtained the appropriate visas when travelling with Japan Biking. Please ensure your passport is valid for 6 months beyond the duration of your trip. It is your responsibility to ensure that you have the correct visas for your trip. Japan Biking cannot accept any responsibility if you are refused entry to Japan because you lack the correct visa documentation.
Your own bike
Any traveller choosing to bring their own bike must ensure it arrives in good condition. Whilst Japan Biking will make every effort to ensure the good running, maintenance and repairs of bikes while cycling, we cannot guarantee provision of spare parts for bikes that are not our own. We recommend that you have your bike fully serviced before coming on the trip and pack your bike in such a way as to minimize the potential for damage en route to the trip starting point.
Medical conditions
Due to the physical nature of our trips, it is extremely important to Japan Biking and to you, the traveller, that you are of good physical health and therefore able to fully participate in the group cycling travel experience. Upon arrival at the starting point, we recommend each traveller to provide details of any pre-existing medical conditions. Disclosure of this information to the trip leader is for your benefit and ensures Japan Biking can act effectively in the case of an emergency.
Miscellaneous
You give Japan Biking the right to take pictures of you during the trip and to use these pictures for promotional purposes. Any of the pictures that you share with Japan Biking can also be used for promotional purposes.
You agree to share your email address with the other participants on the tour.
Our routes are the fruit of years of hard work and joyful exploration. When you’re logging the route in one way or another, please use these logs for private purposes only and do not publish the route on internet or distribute in any other way.
Personal Responsibility
All participants acknowledge that by coming on one of our trips, they accept the adventurous nature of the trips. We travel through areas where there is little to no English spoken. For these reasons and more, travelling on a Japan Biking trip requires a degree of flexibility and understanding.
Japan Biking will not be held responsible for any traveller who contravenes any law or regulation of the country visited.
While travelling with Japan Biking, you agree to accept the authority of the trip leader at all times. You are aware that travel within a group may involve compromise to accommodate the diverse desires and physical abilities of group members. You understand that Japan Biking reserves the right to decline, accept or retain any person as a member of the group at any time.
In case you rent bikes with Japan Biking, we ask that you take care of the bike for the duration of the trip. Should you damage, break or lose the bike through negligence, you will be charged accordingly.
ASSUMPTION OF RISK, WAIVER AND RELEASE AGREEMENT
Assumption of Risk: I understand and accept that participating in bicycling, being part of an organized cycling tour, and renting a bicycle from Japan Biking (if part of my tour agreement), exposes me to many hazards and entails unavoidable risk of death, personal injury (including but not limited to severe spinal or head injury) and loss of or damage to property. I also understand I should be in good physical health to participate in bicycling. I choose to participate in spite of these risks and hereby assume all risk of injury or loss of life to myself and loss of or damage to property arising out of participating in bicycling, being part of an organized cycling tour, and renting a bicycle from Japan Biking (if applicable). I understand the inherent risk involved in using my chosen cycling equipment and accept full responsibility for any and all such damage or injury which may result.
Waiver and Release: In consideration of Japan Biking organizing and running this tour, and renting me this bicycle (if applicable), I specifically release and forever discharge Japan Biking and its officers, agents, and employees from any and all liability or claims for injury, illness, death or loss of or damage to property which I may suffer while participating in bicycling, being part of this cycling tour, and renting a bicycle (if applicable). This discharge specifically includes, but is not limited to, liability or claims for injury, illness, death or damage caused by the negligence or oversight of Japan Biking or its officers, agents, or employees. It is my intent by the Waiver and Release Agreement to release Japan Biking, including its officers, agents and employees, and hold them harmless from all liability for any such property loss or damage, personal injury or loss of life, whether caused by the negligence of Japan Biking, it’s officers, agents or employees, whether based upon breach of contract, breach of warranty, negligence, oversight, or any other legal theory.
In agreeing, I fully recognize that if injury, illness, death or damage occurs to me while I am participating in bicycling, being part of this cycling tour, and renting a bicycle (if applicable), I will have no right to make a claim or file a lawsuit against Japan Biking or its officers, agents or employees, even if they or any of them negligently cause my injury, illness, death or damage.
- I hereby commit to wearing a helmet at all times while riding the bicycle.
- I understand that this activity may result in severe injury, including but not limited to spinal or head injury.
- I understand that this activity may result in hazards posed by other bicycles and traffic or road conditions.
- I understand how to operate the rental or personal bicycle’s gears and brakes and adjust the seat.
- Japan Biking staff have answered any questions I have had.
I HAVE CAREFULLY READ THIS AGREEMENT AND UNDERSTAND ITS CONTENT. I AM AWARE THIS IS AN ASSUMPTION OF RISK, WAIVER AND RELEASE OF LIABILITY AND I AGREE WITH IT VOLUNTARILY.
I ALSO UNDERSTAND THAT I SHOULD NOT AND MAY NOT PARTICIPATE IN THIS ACTIVITY IF I AM UNDER THE INFLUENCE OF ALCOHOL OR DRUGS.
